How to use it

Fill in the boxes on the left and the invoice on the right updates as you type. It opens with an example job so you can see how it works. Press Clear the example to start from an empty invoice.

1. Your shop

Put in your shop name, phone, email and address. Add your license number if you have one; some states require it on paperwork and ads (see license rules by state). Your logo is optional and stays in your browser. Black or dark logos print best on an office printer.

2. The lines

Each line has a type, so the customer sees what they paid for:

  • Service for the job itself, like a house lockout or a rekey.
  • Part or hardware for anything you sell, like a deadbolt or a key blank. Parts start as taxable.
  • Labor for time, with hours as the quantity. 1.5 hours at $90 is $135.
  • Trip fee and after-hours surcharge on their own lines, so nobody is surprised.
  • Discount for money off. Type it as a positive number; the tool subtracts it.

3. Tax and payment

Enter your sales tax rate and tick Taxable on the lines your state taxes. Tax is worked out once on the taxable total and rounded to the nearest cent. Set the payment status: Paid in full stamps the invoice PAID, and Part paid shows the deposit and the balance due.

The example invoice adds up like this:

The deadbolt is 42/267 of the bill, so it gets that share of the $10 discount. That keeps you from charging tax on money you took off. Your state may want discounts handled another way, so check if you give large ones.

Sales tax: check your state

Forty-five states have a statewide sales tax, and cities and counties add their own on top, so the right rate depends on where the job is (Tax Foundation, 2026 rates). Whether labor and service calls are taxed also differs by state. Your state revenue department has the answer; the Federation of Tax Administrators keeps a list of state tax agencies. This tool doesn't give tax advice.

Keep a copy

The IRS lists invoices among the records that back up your income (what records to keep), and says to keep most records for at least three years (how long to keep them). Save each invoice as a PDF in one folder, named by invoice number. Nothing is saved here, so do it before you close the tab.

Is this invoice generator free?
Yes. There's no account and no limit. Everything runs in your browser and nothing you type is sent or saved, so print or save the PDF before you close the tab.
How do I save the invoice as a PDF?
Press Print or save as PDF, then pick Save as PDF as the printer. On a phone, use the share or print menu and choose Save to Files or Print, then PDF.
Should I charge sales tax on labor?
It depends on your state. Parts and hardware you sell are taxed in most states with a sales tax, but labor and service calls are taxed in some states and not others. Ask your state's revenue department and set each line's Taxable box to match.
How is a discount taxed?
A discount line comes off the subtotal and is spread over taxable and non-taxable lines by their share of the bill. If parts are 25% of the charges, 25% of the discount lowers the taxed amount.
