Work order and estimate templates

Two documents in one tool: a job sheet for what you did on site, and an estimate with low and high prices the customer signs before you start. Fill them in here or print them blank.

The tool opens with example values. Replace them with yours.

Which document

Your shop

Some states require it on your paperwork and ads. Check yours in license rules by state.

Logo (optional)

PNG, JPG or SVG, up to 2 MB. It stays in this browser tab and is never uploaded. A dark logo prints best in black and white.

How to use it

Pick Work order or Estimate at the top, then Filled in here or Blank. Your shop details show on both. The tool opens with an example rekey so you can see a finished page; Clear the example empties it.

The work order

This is the record of the visit. Put in the customer, the job type, the tech, and the times they arrived and finished. The tool works out the time on the job, even past midnight: in at 11:30 p.m. and out at 12:45 a.m. is 1 h 15 min. Then write what was done, the parts used, what you found and how you left it. The customer signs to confirm the work was done.

Good before and after notes save arguments later. "Back deadbolt stiff, customer has two old keys" and "all four locks turn smoothly, four new keys handed over" take ten seconds to write.

The estimate

Each line has a quantity and either a fixed price or a low and a high price. Tick Taxable on the lines your state taxes. The totals show a range, and the approval line says you won't go over the high estimate without the customer's OK.

The example estimate works out like this:

LineLowHigh
Rekey 4 cylinders at $22.50 to $35$90.00$140.00
Trip fee, fixed$45.00$45.00
2 new keys at $3 to $5 (taxable)$6.00$10.00
Sales tax 7% on the keys$0.42$0.70
Estimated total$141.42$195.70

Every line is rounded to the cent before it's added, and tax is worked out once on the taxable total, the same way the invoice generator does it. When the job is done, copy the final numbers onto the invoice.

Blank pads

Blank mode prints your header, license number and terms with ruled lines for everything else. Print 20 and keep them on a clipboard for jobs where your phone is dead or the customer wants paper.

How long to keep them

Some states set it. California's locksmith law, for example, has locksmiths keep each work order for two years with their license number on it (Business and Professions Code 6980.55). For taxes, the IRS says to keep most business records for at least three years (how long to keep records). Check your own state with license rules by state. This isn't legal advice.

Questions

What's the difference between a work order and an estimate?
An estimate comes before the job: what you plan to do and what it should cost, for the customer to approve. A work order records the job itself: who went, when they arrived and left, what they did and which parts they used.
Should I give a price range or a fixed price?
Use a fixed price when you know the job, like a trip fee or a standard rekey. Use a range when something can change on site, like a worn cylinder or a car key that needs programming. Each line can be either.
How long is an estimate good for?
As long as you say. Pick 7 to 90 days and the valid-until date is printed in the header. Shorter is safer when part prices move.
Can I print blank forms for the van?
Yes. Pick Blank, to fill by hand. It prints your header and license number with empty lines and boxes for everything else.
Is anything saved?
No. The tool runs in your browser and nothing is sent or stored. Print or save the PDF before you close the tab.
