## How to use the work order and estimate

Pick **Work order** or **Estimate** at the top, then **Filled in here** or **Blank**. Your shop details show on both. The tool opens with an example house rekey so you can see a finished page; **Clear the example** empties it.

### Work order, estimate and invoice: which one when

| Document | When | Who signs | What it proves |
| --- | --- | --- | --- |
| Estimate | Before the job | Customer approves the price | They agreed to the work and the most it should cost |
| Work order | On site, as you finish | Customer confirms the work | What was done, by whom, when, with which parts |
| Invoice | After the job | Nobody; it's the bill | What they owe and how to pay |

When the job is done, copy the final numbers onto an invoice with the [invoice generator](https://lockcommand.com/tools/invoice-generator).

### How to fill in the work order

This is the record of the visit. Put in the customer, the job type, the tech, and the times they arrived and finished. The tool works out the time on the job, even past midnight: in at 11:30 p.m. and out at 12:45 a.m. is 1 h 15 min. Then write what was done, the parts used, what you found and how you left it. The customer signs to confirm the work was done.

Good before and after notes save arguments later. "Back deadbolt stiff, customer has two old keys" and "all four locks turn smoothly, four new keys handed over" take ten seconds to write. On a lockout, add the signed [lockout authorization form](https://lockcommand.com/tools/lockout-authorization-form) to the same job folder.

### How to write a locksmith estimate

Each line has a quantity and either a fixed price or a low and a high price. Tick **Taxable** on the lines your state taxes, usually parts and keys. The totals show a range, and the approval line says you won't go over the high estimate without the customer's OK. That one sentence is what makes a range fair to the customer and safe for you.

- Put the trip fee on its own line, as a fixed price.
- Give a range only where something can change on site, and say why in the description.
- Pick how long the price is good for. The valid-until date prints in the header.
- Write your terms: deposit, when payment is due, and what happens if you find more work.

### Worked example: rekeying a house

The example estimate works out like this, with 7% sales tax on the keys only:

| Line | Low | High |
| --- | --- | --- |
| Rekey 4 cylinders at $22.50 to $35 | $90.00 | $140.00 |
| Trip fee, fixed | $45.00 | $45.00 |
| 2 new keys at $3 to $5 (taxable) | $6.00 | $10.00 |
| Subtotal | $141.00 | $195.00 |
| Sales tax 7% on the keys | $0.42 | $0.70 |
| **Estimated total** | **$141.42** | **$195.70** |

Every line is rounded to the cent before it's added, and tax is worked out once on the taxable total, the same way the invoice generator does it. If the customer approves, the work order records what actually happened: 4 cylinders, 4 key blanks, 1 h 35 min on site.

### Blank pads for the van

Blank mode prints your header, license number and terms with ruled lines and boxes for everything else, and always fits on one page. Print 20 and keep them on a clipboard for jobs where your phone is dead or the customer wants paper.

### How long to keep work orders

Some states set it, and say what must be on the work order:

- **California** : a locksmith who opens a home or business records the customer's name, address, phone, date of birth, ID number and signature, shows the locksmith's license number, and keeps each work order for two years ( [Business and Professions Code 6980.55](https://california.public.law/codes/ca_bus_and_prof_code_section_6980.55) ).
- **Illinois** : the work order, invoice or receipt shows the customer's name, address and phone and the locksmith's name and license number; the customer gets a copy and the original is kept two years ( [225 ILCS 447/30-30](https://www.ilga.gov/legislation/ilcs/documents/022504470K30-30.htm) ).
- **Taxes** : the IRS says to keep most business records for at least three years ( [how long to keep records](https://www.irs.gov/businesses/small-businesses-self-employed/how-long-should-i-keep-records) ).

Check your own state with [license rules by state](https://lockcommand.com/tools/locksmith-license). This isn't legal advice.

## Questions

### What should a locksmith work order include?

Your shop name and license number, a work order number and date, the customer's name, phone and the job address, the job type, the tech, arrival and finish times, the work done, the parts used, before and after notes, and the customer's signature. California and Illinois also say what customer details a locksmith's work order must hold.

### What's the difference between a work order, an estimate and an invoice?

An estimate comes before the job: what you plan to do and what it should cost, for the customer to approve. A work order records the job itself: who went, when, what they did and which parts they used. The invoice is the bill for the finished work.

### Should I give a price range or a fixed price?

Use a fixed price when you know the job, like a trip fee or a standard rekey. Use a range when something can change on site, like a worn cylinder or a car key that needs programming. Each line can be either.

### How long is a locksmith estimate good for?

As long as you say. Pick 7 to 90 days and the valid-until date prints in the header. Thirty days is common; shorter is safer when part prices move.

### Can I print blank work orders for the van?

Yes. Pick Blank, to fill by hand. It prints your header and license number with empty lines and boxes for everything else, always on one page.

### Is anything saved?

No. The tool runs in your browser and nothing is sent or stored. Print or save the PDF before you close the tab.
