## How to fill in a locksmith invoice

Fill in the boxes on the left and the invoice on the right updates as you type. It opens with an example after-hours lockout so you can see a finished invoice. Press **Clear the example** to start from an empty one. When it looks right, press **Print or save as PDF**.

### 1. Your shop details

Put in your shop name, phone, email and address. Add your license number if you have one: Illinois requires it on every work order, invoice or receipt, and other states require it on paperwork or ads (see [license rules by state](https://lockcommand.com/tools/locksmith-license)). Your logo is optional and stays in your browser. Dark logos print best on an office printer.

### 2. Invoice number, date and terms

Use a number that never repeats, like 1042, 1043, 1044. Pick the terms: **Due on receipt** for a homeowner you're standing in front of, or **Net 15** or **Net 30** for a property manager or business account. The due date is worked out for you.

### 3. Line items: one line per kind of charge

Each line has a type, so the customer sees what they paid for and you can set tax line by line:

### 4. Sales tax and payment

Enter your combined sales tax rate (state plus local) for the job address. Tax is worked out once on the taxable total and rounded to the nearest cent, half a cent up. Set the payment status: **Paid in full** stamps the invoice PAID, and **Part paid** shows the deposit and the balance due. Tick the ways you take payment and add your Zelle email or Venmo handle.

### Worked example: after-hours lockout with a new deadbolt

The example invoice adds up like this, at an 8.25% tax rate:

The deadbolt is 42/267 of the bill, so it takes that share of the $10 discount. That keeps you from charging tax on money you took off. Every line is rounded to the cent before it's added, so 3 key blanks at $1.99 are $5.97, never $5.969.

### Is locksmith labor taxable? Check your state

Forty-five states and DC have a statewide sales tax, and cities and counties add their own, so the rate depends on where the job is ([Tax Foundation, midyear 2026 rates](https://taxfoundation.org/data/all/state/2026-sales-tax-rates-midyear/)). What gets taxed differs too:

- **California** treats opening locks and rekeying as repair labor, which isn't taxable when billed on its own, but making new keys and selling locks and parts is ( [CDTFA guide for locksmiths](https://cdtfa.ca.gov/formspubs/pub62/locksmith-tax-basics-types-of-transactions.htm) ).
- **Connecticut** lists locksmith services as a taxable service ( [CT Department of Revenue Services](https://portal.ct.gov/drs/sales-tax/services-subject-to-sales-and-use-taxes) ).
- **Texas** doesn't tax labor to repair a home, but does tax repair of commercial property ( [Texas Comptroller](https://comptroller.texas.gov/taxes/publications/94-116.php) ).

### Invoice, receipt or estimate?

An **estimate** comes before the work and can be a range; make one with the [work order and estimate templates](https://lockcommand.com/tools/work-order-and-estimate). An **invoice** is the bill for finished work. A **receipt** proves payment: set the status to Paid in full and this invoice prints with a PAID stamp, which works as a receipt.

### Keep a copy

The IRS lists invoices among the records that back up your income ([what records to keep](https://www.irs.gov/businesses/small-businesses-self-employed/what-kind-of-records-should-i-keep)), and says to keep most records for at least three years ([how long to keep them](https://www.irs.gov/businesses/small-businesses-self-employed/how-long-should-i-keep-records)). Save each invoice as a PDF in one folder, named by invoice number. Nothing is saved here, so do it before you close the tab.

## Questions

### What should a locksmith invoice include?

Your shop name, phone and license number, an invoice number and date, the customer and the job address, each service, part, trip fee and surcharge on its own line, the sales tax, the total, how to pay and your terms. Some states, like Illinois, require your license number on the invoice.

### Do locksmiths charge sales tax?

Usually on parts and keys you sell. Labor depends on the state: California treats lockout and rekey labor as nontaxable repair but taxes cutting new keys, while Connecticut taxes locksmith services. Ask your state revenue department and set each line's Taxable box to match.

### Should the trip fee be a separate line?

Yes. A separate trip fee line shows the customer what the visit itself costs, and it can matter for tax, because states treat travel charges differently. The invoice keeps trip fee and after-hours surcharge on their own lines.

### How is a discount taxed on the invoice?

A discount line comes off the subtotal and is spread over taxable and non-taxable lines by their share of the bill. If parts are 25% of the charges, 25% of the discount lowers the taxed amount, so you never charge tax on money you took off.

### How do I save the invoice as a PDF?

Press Print or save as PDF, then pick Save as PDF as the printer. On a phone, use the share or print menu and choose Save to Files. Turn off headers and footers for a clean page.

### Is this invoice generator free? Is anything saved?
