# Your books, your team, your rules.

Give each person the access their job needs, see what the shop and the AI did this week, and send invoices and payments to QuickBooks Online without typing them twice.

## Five roles, one shop

Each person gets the screens their job needs. Owners and admins can switch single permissions on or off for one person.

- Invite codes expire after 7 days
- The number of seats depends on your plan
- Techs see shop jobs and prices, not revenue reports

## QuickBooks without typing it twice

Connect QuickBooks Online once. Customers, invoices and payments copy across a few seconds after they're saved.

- QuickBooks Online only, not QuickBooks Desktop
- Tips are noted on the payment, not added to the amount
- Disconnect any time from Payments and accounting

## Your numbers in a spreadsheet

Export invoices or payments as a CSV file for this month, last month or this year.

- Opens in Excel or Google Sheets
- Up to 2,000 rows per export

## How it works

Step by step, in the order it happens.

1. **Connect QuickBooks Online**: An owner, admin or accountant connects it from Payments and accounting and approves access on the QuickBooks sign-in page.
2. **Work as usual**: Book jobs, send invoices, take payments. Nothing extra to do.
3. **It copies across**: A couple of seconds after a customer, invoice or payment is saved, LockCommand sends it to QuickBooks. Voided invoices are voided there too. Sales tax goes on its own line.
4. **Catch up when you want**: “Sync now” sends your newest 25 invoices and payments again, if you want to be sure everything is there.

## What you control

All of it is set in the app, most of it by the shop owner or an admin.

- Roles: Owner, admin, dispatcher, tech or accountant for each person. Owners and admins can switch single permissions on or off for one person.
- Team seats: Invite people with a code that expires after 7 days. The number of seats depends on your plan.
- Report period: Today, the last 7 days or the last 30 days: revenue and tips, average ticket, jobs, AI calls and minutes, AI booking rate and cost, top services.
- CSV range: Invoices or payments for this month, last month or this year.
- QuickBooks item: Invoice lines use a Service item you already have in QuickBooks, preferring one named “Locksmith”.

## Honest limits

Worth knowing before you set it up, so nothing surprises you on a job.

From invoice on site to entry in your books: the invoicing guide walks through it. [Locksmith invoicing guide](https://lockcommand.com//locksmith-invoicing)

- QuickBooks sync is one way, from LockCommand to QuickBooks. It never reads money data back and never moves money.
- QuickBooks Online only, not QuickBooks Desktop.
- It doesn't create products or services in QuickBooks. Lines use a Service item you already have.
- Tips are noted on the payment in QuickBooks but not added to the amount.
- The Reports screen is for owners and admins. Accountants export CSV from the invoice list.
- A CSV export holds up to 2,000 rows.
- Techs can see every job in the shop with its price, so they can pick up open work. They can't see revenue reports or the invoice list.

## Books & team questions

### What does LockCommand send to QuickBooks?

Customers, invoices (and voids) and payments linked to their invoice, a few seconds after each one is saved. Sales tax goes on its own line. LockCommand doesn't create items or move money.

### Does LockCommand read my QuickBooks data?

Only what it needs to avoid duplicates and fill in lines: your company name, customers by name, your Service items, and the records it is updating. It never reads money data back.

### How do I disconnect QuickBooks?

In Payments and accounting, choose Disconnect. LockCommand tells QuickBooks to end its access and forgets the connection. You can also remove LockCommand from the apps connected to your QuickBooks account.

### What can an accountant see?

Invoices, payments, customers, CSV exports, the wallet balance and the QuickBooks connection. In the app, accountants don't see the dispatch map, call recordings, transcripts or ID photos.

### Can I export to Excel?

Yes. Export invoices or payments as a CSV file, which opens in Excel or Google Sheets, for this month, last month or this year.
